
Project Overview
FutureMeds is an international research network operating 29 clinical research sites across seven European countries. The goal of this project was to design a mobile application that simplifies the clinical trial journey for both patients and doctors - improving patient engagement, recruitment, communication, and trial management.
The project was conducted with the client's Polish team over 7 weeks of workshops involving stakeholders from IT, marketing, medicine, and management.

The Challenge

Clinical trials often struggle with patient recruitment, enrollment, and long-term retention.

At the same time, doctors frequently manage patient referrals and clinical trial data across fragmented systems and paper documentation, making the process time-consuming and inefficient.

Patients also lacked a single, trustworthy place where they could track appointments, manage visits, access medical trial information, and stay connected with research sites.
The challenge was to create an intuitive and accessible mobile experience that simplifies these processes while securely integrating with the company’s healthcare systems.
Research & Discovery
The design process was based on:

competitive analysis,

user interviews collected by the client,

and collaborative workshops with stakeholders.
Throughout the workshops, we worked closely with doctors, IT specialists, marketers, and directors to better understand operational limitations, business goals, and users’ real frustrations.
One of the most important findings was that both patients and doctors needed clarity, simplicity, and trust throughout the entire trial journey.
Designing the solution
I designed two mobile platforms that support both patients and healthcare professionals.
For Patients
The app helps patients manage their clinical trial journey in one place through:

visit scheduling and confirmations,

trial progress tracking,
-
direct contact with research sites and doctors,
-
and a knowledge base with reliable information about symptoms, treatments, and prevention.
The goal was to reduce uncertainty and make patients feel more confident and engaged throughout the process.
Future updates will also include:

AI chatbot support,
-
and in-app messaging with doctors.
For Doctors
The platform enables:

doctor-to-site digital referrals,
-
structured patient data collection,
-
faster patient intake,
-
and easier patient enrollment during visits.
Doctors can browse currently active clinical trials across all FutureMeds sites and quickly identify suitable trials for their patients.
The application also simplifies patient consent collection and reduces manual administrative work.


UX & UI Design
The interface was built using the client’s existing design system, which I expanded with additional mobile-first components aligned with WCAG accessibility requirements.
Accessibility played a key role in the design process. The application needed to remain intuitive and easy to use for patients with different impairments and varying levels of digital literacy.
The UX focused on:

simplifying navigation,

and creating a clear onboarding experience.
Patients can now easily:

view upcoming appointments,
-
confirm visits,
-
and access healthcare information in a centralized, user-friendly environment.
Challenges
Balancing security requirements with a simple onboarding experience was one of the most complex parts of the project.
The registration process needed to remain fast and intuitive while collecting all required patient information necessary for secure healthcare data integration.
For example, only patients with correctly matched personal data can securely connect their medical information to the app.
Designing a process that felt both reliable and effortless required close collaboration with developers, architects, and stakeholders throughout the project.

Outcome
The solution streamlined fragmented workflows for doctors and created a more transparent experience for patients participating in clinical trials.
By centralizing scheduling, referrals, communication, and educational resources into one platform, the app improved:

The project also reinforced the importance of balancing business, technical, and user needs, especially in healthcare environments where accessibility, trust, and security are critical.
